CSA Terms and Conditions for 2025
Farmigo, the CSA software that we use, requires CSA members to check a box saying that they have read our Terms and Conditions.
Purpose: Community Supported Agriculture (CSA) is a partnership between the farmer and the CSA members, with both sharing some of the risks, as well as the bounty, of the farm. These Terms and Conditions outline our shared commitments.
Definitions:
Minto Island Growers = “MIG”
CSA member = “member”
Shared Risk and Reward: Members support MIG by sharing the inherent risks of farming (weather conditions, pests/diseases, crop failure, etc.) and the rewards (fresh, local, organic produce, and a beautiful rural setting to enjoy). MIG uses approaches that protect the harvest, minimize risks, and optimize outcomes. We grow a wide variety of crops that thrive in different conditions. We use cover cropping, crop rotation, protected high tunnels, etc. Our goal is to provide members with a wide variety of produce in plentiful amounts. MIG will act in good faith to provide fresh organic produce throughout the season, but there is no guarantee of quantities or contents of shares. In the very unlikely event that a force majeure (e.g. severe weather, disease/pest damage, or other natural disaster) results in a level of crop destruction that prevents MIG from completing the season, members will be notified immediately, along with the remedy available.
Farmigo:
MIG uses an online software program called Farmigo for CSA registration and management
Farmigo requires an email login for members, who can make additional purchases, make payments, set delivery holds, change pick-up days, etc.
We do not share any personal information entered into Farmigo
We do not have access to the financial information that members enter, if they choose to pay by electronic check
Payments:
Members can make payments by:
Check (mailed to Minto Island Growers, PO Box 1004, Salem, OR 97308; members should not mail checks to the street address)
Electronic check / ACH (via Farmigo, single payment or autopay)
SNAP food benefits (via an agreement with PNWCSA.org; assuming that federal funding remains in place)
Members are responsible to make on-time payments according to the payment plan they selected:
Payment in Full or Payment 1 is due upon sign-up or within 30 days
2- and 3- installment plans – Payment 2 is due June 1, 2025; Payment 3 is due July 1, 2025 (if e-check) or August 1, 2025 (if check)
6-installment plan – Payments 2, 3, 4, 5, and 6 are due April 1, May 1, June 1, July 1, and August 1, 2025
Members will receive an email reminder in the morning of each pick-up day, which includes the current balance due (if any) and upcoming payments due (if any)
Members can also review their account balance and upcoming payments due via their Farmigo account: https://csa.farmigo.com/account/mintoislandgrowers/2025Season
If a member has a past-due payment, MIG will send payment reminders; if payment is not forthcoming, MIG may cancel the member’s subscriptions for the remainder of the year, with no refund; MIG may make exceptions due to hardship
Cancellation and Refund Policy:
To cancel a share or add-on, the member must notify MIG in writing (to csa@mintogrowers.com) with at least two weeks’ notice
MIG will apply the following cancellation fees, to help cover administration costs:
If a share is canceled by May 20, MIG will refund the full season, minus a $25 cancellation fee
If a share is canceled after May 20, MIG will refund the remainder of the season, minus a $50 cancellation fee
If an add-on is canceled, MIG will refund the remainder of the season, minus a $10 cancellation fee
MIG may waive these cancellation fees due to hardship
MIG will mail refund checks to the member’s mailing address listed in Farmigo
CSA Primer and Other Email Communications:
Members are responsible to ensure that emails sent by MIG are not caught by their spam filters:
From csa@mintogrowers.com
Via Farmigo (farmigo.mintoislandgrowers@farmigo-csa-hr.appspotmail.com)
MIG will send a CSA Primer by email 1-2 weeks before the season starts
Members are responsible to read and follow the instructions in the CSA Primer and any other emails sent by MIG
Shares and Add-Ons for the Week:
Members are responsible to know what share size and add-ons to pick up each week
Members will receive an email reminder in the morning of each pick-up day, which lists their share and any add-ons for the week
The check-off list at the pick-up site also lists the shares and add-ons for each member for the week
Picking Up Shares:
All shares will be picked up at the Farm Stand, from 4 to 7 PM only, on the day the member selected in Farmigo (Wednesday, Thursday, or Friday)
All shares are Market-Style, with a combination of Fixed items (that all members take) and Choice items (that each member selects)
Fixed item policy:
MIG strongly encourages members to take the Fixed items each week; items not taken can result in a financial loss for MIG; Fixed items are a key part of MIG’s CSA approach
If a member has an allergy or other medical restriction, they may skip a Fixed item and select a Choice item instead
If a member strongly dislikes a Fixed item, the member may skip the item; if the member wants to swap it for a Choice item, they should ask MIG staff
MIG reserves the right to revise this policy
Delivery Holds, Make-Up Shares, and Vacation Vouchers:
Members must place a Delivery Hold for an upcoming week in Farmigo by Monday at 11 PM
Each member can use up to two Delivery Holds (and make-up shares) during the season
If the member prefers a Vacation Voucher rather than a make-up share, they must contact csa@mintogrowers.com to request the Vacation Voucher
A Vacation Voucher is a produce credit that can only be used for produce at the Farm Stand
Late or Missed Pick-Up Policy:
MIG highly recommends that members put all pick-up days in a personal calendar
MIG sends a pick-up reminder email the morning of each pick-up day
If a member is not able to pick up their share, and has not set up a Delivery Hold, they can send a friend or family member (the member needs to make sure the person understands what to do, or the member can tell the person to ask MIG staff for help)
MIG does not provide any credit or replacement shares for missed or late pick-ups
Flexibility and Work-Arounds:
If a member has circumstances that are not in alignment with these Terms and Conditions, they should contact MIG at csa@mintogrowers.com to see if there's flexibility or a work-around that would address the situation
If MIG experiences unusual circumstances, e.g. a severe weather event or crop failure, MIG may need to adjust pick-up schedules, pick-up locations, or share contents; MIG will communicate any changes to members and will strive to ensure that members receive the full value of their shares
