CSA Terms and Conditions for 2024

Farmigo, the CSA software that we use, requires CSA members to check a box saying that they have read our Terms and Conditions.

Purpose:

Community Supported Agriculture (CSA) is a partnership between the farmer and the CSA members, with both sharing some of the risks, as well as the bounty, of the farm. These Terms and Conditions outline our shared commitments.

Definitions:

CSA member = “member”.

Minto Island Growers = “MIG”.

Payments:

Members are responsible to make on-time payments according to the payment plan they selected:

  • The first payment is due upon sign-up or within 30 days

  • If there is a 2nd payment, it is due by June 1, 2024

  • If there is a 3rd payment, it is due by July 1, 2024 (if autopay) or by August 1, 2024 (if not autopay)

Members will receive an email reminder in the morning of each pick-up day, which includes the current balance (if any) and upcoming payments due (if any).

Members can also review their account balance and upcoming payments due via their Farmigo account: https://csa.farmigo.com/account/mintoislandgrowers/2024Season.

If a member has a past-due payment, MIG will send payment reminders. If payment is not forthcoming, MIG may cancel the member’s subscriptions for the remainder of the year, with no refund. MIG may make exceptions due to hardship.

Cancellation and Refund Policy:

If a member cancels a seasonal share, MIG will refund the remainder of the year, minus a $25 cancellation fee (to help cover administration costs and any unpaid weeks while MIG transfers the share to a waitlist member).

If a member cancels an add-on only, MIG will refund the remainder of the year, minus a $10 cancellation fee (to help cover administration costs).

MIG may waive these cancellation fees due to hardship.

CSA Primer and Other Email Communication:

Members are responsible to ensure that emails from csa@mintogrowers.com are not caught by their spam filters.

MIG will send a CSA Primer by email 1-2 weeks before each season starts.

Members are responsible to read and follow the instructions in the CSA Primer and any other email communications sent by MIG.

Shares and Add-Ons for the Week:

Members are responsible to know what share size and add-ons to pick up each week.

Members will receive an email reminder in the morning of each pick-up day, which lists their share and any add-ons for the week.

The check-off list at the pick-up site also lists the shares and add-ons for each member.

Picking Up Packed Shares (Farm Stand and Off-Farm Pick-Up Sites):

Packed shares are available at pick-up sites by 4 PM of each pick-up day.

Members have a 24 hour window to pick up. If a member needs to pick up a share after 24 hours, they must contact their pick-up site host within the 24 hours to coordinate (the weekly pick-up reminder has the site host’s contact information).

Picking Up Market-Style Shares:

Summer season: at the Farm Stand, from 4 to 7 PM only, on Wednesday or Friday.

Winter season: at the Warehouse, from 4 to 6 PM only, on Thursday only.

Market-Style shares are a combination of Fixed items (that everyone takes) and Choice items (that the member selects).

Fixed item policy:

  • MIG strongly encourages members to take the Fixed items each week; items not taken can result in a financial loss for MIG; Fixed items are a key part of MIG’s CSA approach for Market-Style shares (< 50% of the share is Fixed) and for packed shares (100% of the share is Fixed)

  • If a member has an allergy or other medical restriction, they may skip a Fixed item and select a Choice item instead

  • If a member strongly dislikes a Fixed item, the member may skip the item; if the member wants to swap it for a Choice item, they should ask MIG staff (if present)

  • MIG reserves the right to revise this policy if members are not following it

Delivery Holds, Make-Up Shares, and Vacation Vouchers:

Summer season: members must place any Delivery Holds for an upcoming week in Farmigo by Monday at 11 PM. Each member can schedule up to two Delivery Holds (and make-up shares). If the member prefers a Vacation Voucher rather than a make-up share, they must contact csa@mintogrowers.com.

Winter season: MIG does not offer any Delivery Holds, make-up shares, or Vacation Vouchers. If a member will miss a pick-up, they can either send a friend or family member, or contact csa@mintogrowers.com to cancel your share for the week.

Late or Missed Pick-Up Policy:

MIG highly recommends that members put all pick-up days in a personal calendar.

MIG sends a pick-up reminder email the morning of each pick-up day.

If a member is not able to pick up their share, and has not set up a Delivery Hold, they can send a friend or family member (make sure the person understands what to do).

MIG does not provide any credit or replacement shares for missed or late pick-ups.

Flexibility and Work-Arounds:

If a member has circumstances that are not in alignment with these Terms and Conditions, they should contact MIG at csa@mintogrowers.com to see if there's flexibility or a work-around that would address the situation.

If MIG experiences unusual circumstances, e.g. a severe weather event or crop failure, MIG may need to adjust pick-up schedules, pick-up locations, or share contents. MIG will communicate any changes to members and will strive to ensure that members receive the full value of their shares.
